We have created this to guide you in filling our Subject Access Request form.
The General Data Protection Regulation (GDPR) Article 15 gives individuals the right to ask organisations that hold personal information about them, for access to that information. This right is called a Subject Access Request (SAR).
You can exercise this right at any time and there is generally no charge for a SAR. In some rare cases, we may need to charge you a reasonable fee, or may not be able to act on your request. We will let you know in such a case.
If you are a third party requesting on behalf of a data subject, please use our dedicated email address privacy@hotspecgroup.com to contact us and provide relevant documents listed below
If there is a problem and you are not happy, we would like to address this – please get in touch with our support team who will try their best to resolve the issue. If you have tried this and would like to take the issue further, you can lodge a complaint. This gives us the opportunity to fix it for you and may be more effective than raising a SAR. We can give you some information without you needing to submit a SAR – see the next section. If you still need to submit a SAR, please use our SAR form.
You may not need to submit a SAR and wait for information. By calling our Support team or chatting with us, you can quickly and easily get:
On our website you can also browse our terms and conditions.
Only individuals have the right to submit a SAR. This means:
Businesses and corporate accounts cannot submit a SAR.
If you are either representing someone who has passed away, or you are the executor of an estate and you need access to information for administration purposes, please get in touch with our Support team for help.
Please fully complete our Subject Access Request form online clearly stating what information you are looking for and provide all your contact details so our team can contact you about your SAR.
Sufficient information to enable us to:
Until we have all this information, we will not be able to process your request, nor are we obliged to under the legislation. Completing our SAR form should help you make a successful request and avoid delays in it being processed. We have up to one calendar month from receipt of your SAR to respond. In some cases, this period may be extended. If that is the case, we will let you know. In the meantime, we will let you know we have received your request. We will try to respond as quickly as possible, but if you need your information sooner please let us know and we will try to accommodate this.
* In line with good privacy and data protection principles, we minimise the personal data we hold about you. Many people believe we hold more information than we actually do. Whether we can provide you with what you want may depend on:
Content of calls, text or picture messages, or voicemail.
We are unable to provide you with information about the content of any calls, voicemail, texts or other messages. We do not record the content of the calls you make, or the content of your messages.
We may be unable to provide you with a copy of your signed contract. These are not all held in our files as some have since been archived or deleted due to time lapse. This depends on when and how you took out your contract. Some may still be stored digitally so please contact our Customer Service team for more information.
These can be obtained directly from our website.
